Job Summary

The Department of Epidemiology, at the Harvard T.H. Chan School of Public Health, studies the frequency, distribution, and determinants of disease in humans, a fundamental science of public health. In addition to pursuing ground-breaking global research initiatives, we educate and prepare future medical leaders and practitioners as part of our mission to ignite positive changes in the quality of health across the world.
The CAUSALab is a Center in the Department of Epidemiology at the Harvard T.H. Chan School of Public Health.

The Center uses data to investigate what works in medicine, public health, and policy. By combining sound methodology with high-quality data, the CAUSALab produces actionable causal inference with real-world impact. The Center also offers training on a methodological framework for causal inference research based on observational health databases (e.g., administrative claims, electronic health records, biobanks) and pragmatic randomized trials. The areas of work include infectious diseases, cardiovascular diseases, cancer, mental health, and pregnancy.

Position Description

The Program Assistant will support CAUSALab by conducting complex administrative, programmatic, and research support duties. Reporting to Joanna Michalski, Assistant Director of Projects & Operations at CAUSALab, and working in close collaboration with Dr. Miguel Hernan, the Director of CAUSALab.
The Program Assistant will also provide administrative and financial support for two Center faculty members, including the Director and will be responsible for performing a wide range of duties to ensure smooth daily operations and effective administration of the Center. This position will require multi-tasking, providing accurate and timely results with attention to detail, and prioritizing and managing competing deadlines.

Duties and responsibilities include, but are not limited to, the following:

Administrative Support

  • Schedule and facilitate meetings and conference calls
  • Coordinate travel arrangements for faculty, lab members, and visitors
  • Prepare and process corporate card expense reports, reimbursements, invoices, and other payment requests
  • Coordinate purchasing, ordering, and maintaining supplies and equipment
  • Draft and edit correspondences and documents
  • Maintain faculty websites up to date
  • Provide publication support, including proofreading manuscripts, entering references, submitting papers to academic journals, and managing PMCID numbers in the NIHMS system
  • Assist with CV/biosketch management
Program Coordination
  • Assist with academic and social events for the CAUSALab, including scheduling programs, reserving space, placing catering orders, requesting AV/IT support, and onsite support
  • Manage CAUSALab email account
  • Assist with CAUSALab summer short courses and CAUSALab events
  • Assist with on/off-boarding of lab members
Research Coordination
  • Coordinate regulatory compliance tasks for CAUSALab faculty, researchers, and students, including IRBs (Institutional Review Board) and DUA (Data Use Agreement) submissions, renewals, and amendments
  • Regularly maintain agreements and research compliance, keeping track of submission deadlines and requirements
  • Provide training for CAUSALab researchers and trainees on regulatory compliance policies and processes
  • Other related duties as assigned
PLEASE NOTE: This position has a term appointment of 2 years from date of hire with the possibility of extension based on continued funding availability. 

PLEASE NOTE: Occasional evening work may be required to support program events.

Basic Qualifications

  • 3+ years of related work experience required; a combination of education and work experience may be considered

Additional Qualifications and Skills

The following job-specific skills and competencies are preferred:

  • Bachelor's Degree
  • Experience organizing events, conferences, and meetings  
  • Experience and comfortability working with Microsoft Office products (Outlook, Word, Excel, and PowerPoint)
  • Highly organized with strong attention to detail and accuracy
  • Works well independently and takes initiatives 
  • Excellent written, verbal, and interpersonal communication skills

  • Awareness of and aptitude to appropriately and effectively understand, respect, and adapt to cultural and identity-based difference within group environments

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
