Job Summary

The Harvard Data Science Initiative (HDSI), launched in 2017, is a multidisciplinary, interfaculty initiative that unites leading computer scientists, statisticians, and domain experts from law, business, public policy, education, medicine, public health, and myriad academic disciplines to derive meaningful and actionable insights that will shape the world for generations to come. In this era of unprecedented data proliferation, the HDSI leverages Harvard’s extraordinary intellectual ecosystem to tackle grand challenges such as combatting climate change, advancing medical research, and preparing workers for future industries.


The Senior Coordinator, Engagement and Events will play a pivotal role in advancing HDSI’s mission by contributing to its communication, outreach, and event coordination efforts. Reporting to the HDSI Director of External Engagement and working closely with various key stakeholders, the Senior Coordinator will be responsible for implementing a cohesive communication strategy across multiple platforms, supporting events (both virtual and in-person), and supporting the day-to-day administration of the Initiative. This role requires strong organizational, communication, and event management skills, as well as a deep understanding of the data science landscape. The ideal candidate will be an experienced and creative professional with a passion for enhancing engagement through innovative content and programming.
 

Position Description

Communication and Outreach

  • The Senior Coordinator, Engagement and Events will develop and execute a comprehensive engagement strategy across HDSI channels including website, weekly newsletter, social media, and the annual report to ensure consistent and effective communication.
  • Curate and produce HDSI weekly newsletter, researching current data science topics, compiling relevant content, and reporting on HDSI events, programs, news, and amplifying opportunities and jobs from the Harvard/data science community.
  • Maintain the HDSI website, including creating websites for events such as workshops and conferences and updating program websites.
  • Regular management of HDSI social media accounts by creating original content and engaging with the online community, and measuring progress/growth. Maintain a strong digital presence while developing a distinctive brand.
  • Edit, manage, and publicize media assets/content for events and communication outlets such as YouTube channel, newsletters, blog posts, and website content.
  • Manage the production of HDSI’s annual report, including project management, content collaboration with key stakeholders, and oversight of design and layout to ensure a polished final product.
  • Write original content, including blog posts and newsletter items, to spotlight program highlights, events, and achievements.
  • Maintain working knowledge of pertinent topics in data science, current research conducted by HDSI/affiliates, news from HDSI Corporate Members, key leaders in the field, and target audiences.
  • Ensure consistency in style, content, branding, language, and messaging across all public-facing platforms to advance HDSI’s mission, priorities, and goals.
  • Catalogue all existing brand, image, video, and web assets, updating when necessary.
  • Manage the reporting and analysis of campaigns, website, and email activity to identify problems and opportunities.

Events Coordination
  • The Senior Coordinator, Engagement and Events will support the preparation and execution of HDSI events, including online and in-person seminars, workshops, and conferences.
  • Online events - Coordinate logistics, including scheduling, registration, and platform management (Zoom). Ensure smooth execution by managing technical aspects, such as screen sharing, Q&A sessions, and recordings.
  • In-person events - Oversee venue selection, catering, AV and media needs, and other logistical details.
  • Manage event registration, including participant communication and check-in processes.
  • Coordinate with speakers and facilitators to ensure they have the support and materials needed for successful presentations.
  • Handle on-site event execution, including troubleshooting any issues that arise and ensuring a positive experience for all attendees.
  • Coordinate post-event follow-up, including surveys, content distribution, and reporting on event outcomes.
  • Develop promotional materials and manage communication to participants before and after the event.

General program support
  • Contribute to the planning and execution of special projects, collaborating across HDSI teams to ensure alignment with communications and outreach goals.
  • Assist with the coordination of program activities and initiatives, providing administrative and logistical support as needed.

Basic Qualifications

Candidates MUST meet the following basic qualifications to be considered for this role:

  • A minimum of 5 years of experience in a related field, with a strong background in communications, marketing, or community engagement.

Additional Qualifications and Skills

  • Committed, high-performing team player with strong prioritization and interpersonal skills.
  • Experience in marketing, including fluency in design software, and a proven track record of managing digital content and campaigns.
  • Ability to comprehend complex concepts and translate them into engaging content for diverse audiences.
  • Strong problem-solving and creative thinking skills, with the ability to quickly adapt to new challenges.
  • Experience managing relationships with a wide variety of constituents.
  • Proficiency with Microsoft Office, Zoom, Mailchimp, InDesign, Illustrator, Premiere Pro.

This position has a 3-month orientation and review period.

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
